ECI Privacy Code

INTRODUCTION

Because of the nature of its business, Expedited Claims Inc. ('ECI') regularly collects personal information on individuals. We accept that it is not only our legal duty to protect the privacy of that information, it's our moral duty as well. As a result, we are fully compliant with the Personal Information Protection and Electronics Documents Act (PIPEDA). Our Privacy Code can be found below.

1. OUR ACCOUNTABILITY

Expedited Claims Inc. accepts responsibility for all personal information under our control. We will make such information available to the individuals to whom it relates upon request, respond to requests to amend personal information where it is alleged to be incorrect, and respond to complaints relating to our handling of such information. The contact information for our Chief Privacy Officer, whose job it is to ensure that we comply with this Code, is as follows:

The Privacy Officer will respond to any enquiry or complaint related to privacy within thirty days.

2. PURPOSES FOR COLLECTING PERSONAL INFORMATION

We will identify the purpose for which we collect personal information to the affected individual at the time of collection.

3. CONSENT OF THE AFFECTED INDIVIDUAL

We will obtain the consent of the affected individual for the collection, use, or disclosure of personal information, except where the law provides an exception.

4. LIMITING COLLECTION

The personal information that we collect will be limited to such information as is necessary for purposes we have identified. We will only collect personal information for legitimate purposes, will not collect personal information indiscriminately, and will only collect information by fair and lawful means.

5. SAFEGUARDS CONCERNING THE USE AND DISCLOSURE OF INFORMATION

Personal information will not be used or disclosed for purposes other than those for which it was collected (except where the individual to whom it relates consents, or as permitted by law). Personal information that is no longer needed for an identified purpose will be destroyed or made anonymous.

6. ACCURACY AND THE CORRECTION OF INFORMATION

The personal information we collect will be accurate and up to date to a reasonable degree, taking into account the purpose for which it is collected. If a significant error or omission in such information is identified - whether by us or by the person to whom the information relates - we will correct that error or omission.

7. SAFEGUARDS ON PERSONAL INFORMATION

We will properly safeguard all personal information under our control, including the installing and using alarms and proper locks for our premises. Members of the public are not allowed access to our facilities unless they have been properly identified and are escorted by trained staff.

8. ACCESIBILITY AND TRANSPARENCY

All ECI policies regarding the management of personal information are available to anyone requesting them. We will ensure that easily understandable information about our company, its privacy policies, and its Code of Privacy, are available to the public. Requests for such information may be made in writing to our Chief Privacy Officer, whether by regular mail or email.

9. INDIVIDUAL ACCESS

Where an individual makes a request, they will be informed of the existence and use of his or her personal information where it is under our control. They will be given access to that information and may challenge its accuracy and completeness in writing to our Chief Privacy Officer. Please note, however, that there are lawful exceptions that may prevent us from providing access, including but not limited to situations in which:

  • Personal information about another person might be revealed by such access.
  • Commercially confidential information might be revealed by such access.
  • Someone's life or security might be compromised by such access.
  • The information was collected without consent for the purposes related to an investigation of a breach or an agreement or contravention of a law or other lawful exemption.
  • The information was generated during the course of a formal dispute resolution process.
  • The information is protected by the solicitor/client privilege.
10. CHALLENGING ECI'S COMPLIANCE

Any individual may address a challenge concerning compliance with the these policies and procedures to our Chief Privacy Officer.
